MINUTES – HAMPTON PONDS ASSOCIATION

MONDAY, DECEMBER 10, 2007

 

            A special meeting for the Officers and Board of Directors was called for Monday, December 10th  to discuss information for letters that needs to be submitted to the Acting Mayor, City of Westfield, by 12/20/2007 for grant monies for Clean Lakes and The Playground.  It was decided that we would hold a regular meeting as well.

The meeting was called to order at 7:04 p.m. by President Rosalie Dupont, followed by the Pledge of Allegiance.  A moment of silence followed for our active service men and woman, veterans and those that died in service to our country.  There were 9 in attendance.

            Barbara Giroux, Secretary, read the Minutes of the November meeting.  Paul Bluemer made a motion to accept as read, seconded by Nelson Dionne.

            Janet Sanuita distributed the Hampton Ponds Budget – November 2007, and Janet reported a correction in the profit for our HPA Walk-A-Thon - $528.00.  Janet also reported that we received $200.00 from Wal-Mart for the Playground Fund.  Janet opened a 5 month CD at Easthampton Savings Bank.  She closed 3 different accounts at Westfield Savings, added $60.46 from our checking account to open with a starting balance of $4,500.00 at a rate of 5.37% - APR 5.5%.  Donations were brought up, and Barbara Giroux made a motion to donate $50.00 to the requested charitable organizations for Scott, Patsy’s son, Doris’ Mother, and Tony’s wife, seconded by Joe Giroux.  A discussion followed that we would pretty much stay with the amount of $50.00, BUT in some circumstances this amount may be altered by a Vote.  Barbara Giroux made a motion to accept the Treasurer’s report, seconded by Paul Bluemer.

            Janet stated that she has found someone that is interested in cooking at our HPA dinners and she will volunteer her time.  It’s Kerry Sicard, she does some cooking at Camp Jahn and catering on the side.  Janet will stay in touch with her regarding this and report back to us.

            The website update was tabled until the next meeting because Don Leger was not in attendance.

            Nelson Dionne reported that he’s been in contact with Charlie Medeiros, and by 12/20, Charlie needs request letters for funds for both Clean Lakes and the Playground.  Paul Bluemer suggested that we request $10,000.00 each for Clean Lakes and The Playground.  Barbara Giroux made a motion to request $10,000.00 for Clean Lakes, and $10,000.00 for the Playground, seconded by Nelson Dionne.  Paul Bluemer stated that we should also request monies for treatment of Horse Pond, and the connecting waterway from Pequot Pond to Horse Pond.  Barb will call Emma and if she does not have the information, ask her to contact the City Official that she has been working with to obtain information to be incorporated into our request letter for The Playground.  We have a 10/30/2007 report from Aquatic Control Technology which can be attached to the request letter for Pequot Pond.  Barb will ask Don Leger to obtain a quote for Horse Pond.  Barb Giroux will type the letters and get to Nelson for delivery to Charlie by 12/20.

            Westfield Fuel Co. sent our HPA a letter describing 4 plans to choose from for our winter season.  After a discussion….Barbara Giroux made a motion to choose Plan No. 2 – at a cost of $195.00/year and this does include the cleaning, seconded by Rosalie Dupont and a unanimous vote by ALL.  A copy of this letter is on file with the Minutes.

            State Tax Form 3ABC – Return of Property Held for Charitable Purposes needs to be completed by the HPA.  Janet Sanuita will complete, sign and mail.

            Application for Common Victualler – tabled until next meeting.

            A discussion followed about where the HPA receives mail.  Currently everything is sent to the Boat House.  Tabled until next meeting - A system needs to be in place so Janet receives bills promptly for payment!

            Nelson Dionne made a motion to adjourn at 7:45 p.m., seconded by Rosalie Dupont.

FOR DISCUSSION AT NEXT MEETING

1)      Kerry Sicard – Volunteered to Cook for our HPA Dinners.

2)      Letters to Acting Mayor of Westfield-Grant Monies, Clean Lakes & Playground.

3)      State Tax Form 3ABC.

4)      Mail coming to our HPA – need to work out a system so Janet receives on a TIMELY basis to pay all bills.

5)      Website Update.

6)      New Application for Common Victualler.

7)      Boat Donation for Jericho – Tabled Until Spring.
