MINUTES – HAMPTON PONDS ASSOCIATION

MONDAY, JULY 2, 2007

 

            The meeting was called to order at 7:05 p.m. by President Rosalie Dupont, followed by the Pledge of Allegiance.  A moment of silence followed for those active men and women, veterans and all who have died in service for our country. There were 14 in attendance.

            This meeting was primarily to go over the Parade schedule for July 4th, but it was agreed by all to proceed with our regular meeting.  Secretary Barbara Giroux read the minutes of the June meeting.  Kim Goulette made a motion to strike from our June minutes, 3rd page….the words EXCLUDES CLEAN LAKES, this was in reference to a motion made by Paul Bluemer at our June meeting. A lengthy, discussion followed by second motions, thirds, etc….that everything should be in separate accounts, which we are now doing, and if any accounts are short, we borrow from the General Fund, and then it gets paid back.  BUT nothing finalized.  This will be discussed at our next meeting.  Pete Sanuita spoke saying we should all work together and not be a divided group. 

            Janet Sanuita passed out the Treasurer’s report for everyone to review.  Total assets: $17,844.32.  Income for June was $1,190.00, and expenses totaled $1,704.10.

Rosalie Dupont made a motion to accept this report, seconded by Barbara Giroux.

            With regards to the Parade on July 4th…..Trophies and ribbons are all in place efficiently handled by Jean Dionne.  Refreshments handled by Doris Rivard and Joe Giroux.  The 4th of July Parade Book was distributed…GREAT job Kim and Rosalie!

Doris Rivard will be our Grand Marshall – a GREAT CHOICE!!!

            The boat raffle tickets sold to date is $3,180.00.  Janet/Nancy encouraged everyone to take another packet of tickets to make this a TRUE SUCCESS for our weed program. 

            Other fundraising events were discussed.  Girl Scouts car wash – tabled, a date has not been agreed upon as yet, but Janet Sanuita is working on this.  Emma Maloney will be organizing a September 8th Pancake Breakfast and Tag Sale, and also, a Spaghetti Dinner on October 6th.

            Don Leger reported on the Weed Eradication Program….very little growth, there will be an early fall inspection followed with a combined report.  Everything is in good shape!

            Motion made to adjourn meeting by Paul Bluemer at 8:10 p.m., seconded by Joe Giroux.

DISCUSSION AT NEXT MEETING

  1. Discuss the words “Excludes Clean Lakes” from June Minutes.. And the June
    Minutes were not accepted at our July 2nd meeting.
  1. Boat raffle tickets – total sold?  Drawing on 7/14 at Fishing Derby.
  1. Fundraising events:  How will be September 8th Breakfast and Tag Sale proceed be handled?  October 6th dinner – proceeds???  Date for Girl Scouts car wash?
  2. Weed Eradication Program – any new news
  3. Membership Drive.

ADDITION TO MINUTES:  On June 21, 2007, a meeting was held at Janet Sanuita’s home, attended by President Rosalie Dupont, Secretary Barbara Giroux, Nancy Pasquini and Shirley (prior bookkeeper), Treasurer Janet Sanuita and Vice President Kim Goulette to meet with Sue Lastowski, Accountant of Quality Tax & Bookkeeping Service, 12 Corser Street, Suite 413-415, Holyoke, MA   01040 – 413-535-1773 – Fax: 413-535-1056 – E-Mail address:  www.qtandb.com .  The intent of the meeting was to assure that the HPA is following all procedures legally.  Sue verified that we can maintain our 501C4 classification.  She stressed that everything must be kept in separate accounts, which we are now doing. Also, Sue suggested that when we have our dinners, instead of using the word raffle, call it door prizes, this way we do not have to register. All raffles over $600.00 has to be registered. A lengthy discussion followed, and Sue verified that we are following procedures correctly, but the following will need action, which she will handle for us:  1) Register for our boat raffle; 2) Review the bylaws; and 3) Mail our 2006 taxes.  These taxes were prepared, but never mailed.
